Seamless Onboarding with Pearl Dental Software

At Pearl, we know that switching dental software can feel daunting - but with the right support, it doesn’t have to be. That’s why we’ve designed a seamless onboarding process, built around expert guidance, minimal disruption, and maximum confidence.

From your very first call to full go-live training, our dedicated onboarding team is with you every step of the way. Whether you're moving from another system or upgrading from paper records, we’ll tailor the experience to suit your practice’s unique needs. Our onboarding process has been carefully designed to be equally seamless for NHS, mixed, multi-site, orthodontic and squat dental practices.

Step 1

First Contact

Once you reach out, our team will arrange a Demo or a call with your Principal, Practice Manager or Business Manager to understand your current setup, identify your goals, and answer any initial questions. We'll outline the onboarding journey, discuss timelines, and recommend the right onboarding option - whether that’s self-guided, remote-assisted, or fully on-site.

Step 2

Commitment

When you’re ready to move forward, we’ll confirm your onboarding plan and schedule your installation. At this point, we begin the account setup process, personalising Pearl to reflect your practice - your clinicians, working hours, services, branding, and more.

This is where your transition begins to take shape, and we’ll be managing it with care and precision.

Step 3

Initial Transfer

Next, we begin the data migration process. For practices moving from existing software, we connect to your system and carry out a test transfer into a secure, sandbox environment. This gives you and your team time to review your data in Pearl and verify everything before go-live.

If you’re switching from paper records, you’ll gain early access to start entering key data at your own pace.

Step 4

Final Transfer

Once you're fully satisfied with the test data, we schedule the final data transfer - usually the day before you go live. This ensures all your information is current, accurate, and ready to use. Our team handles the technical details so you can focus on what matters: your patients.

Step 5

Installation & Training

On your scheduled go-live date, we’ll install Pearl and deliver expert training designed to empower your whole team.

Training typically spans two days:

  • Day 1 is a focused training day (practice closed to patients) with group and individual sessions tailored to each role.
  • Day 2 is your go-live day - with our trainers on-site or available remotely to support you in real time. From treatment planning to appointment booking, we’ll ensure everyone feels confident using Pearl in a live practice environment
