How Pearl Dental Software transformed patient workflow at Kingshurst Dental Practice
Overview
Kingshurst Dental Practice are a busy mixed NHS and private practice based in Birmingham. The practice was initially established in 1968 and offer a full range of dental services including clear aligners, composite bonding, extractions, dentures and bridges. Shiv Parekh, Practice Owner, says that underpinning all of these services is their general dentistry and describes this as their ‘bread and butter’.

In early 2023, we were delighted when Shiv made the decision to switch from R4 to Pearl Dental Software. Prior to selecting us, Shiv had already been impressed by our software during his time at a previous practice. Shiv has “been using Pearl Dental Software for about four or five years now in total” and says his experience “has been great.” After Shiv purchased Kingshurst Dental Practice in late 2022, it didn’t take long before he began to look at switching over to us. One of the reasons behind this decision was that he found Pearl’s interface much more user-friendly after having some initial issues with R4, describing R4 as a “clunky software in comparison.”
Something Shiv was really impressed by is our onboarding process and the ongoing support provided by the PDS team. Our Onboarding Manager, Charlie, trained the practices’ team by creating scenarios to allow them to experience how the software would be helping them on a day-to-day basis. Shiv explained that “by the end of the day everyone knew how everything worked.”
Kingshurst also said that they find our ongoing support and reactiveness invaluable “I think that’s the best thing about them. They’re fantastic.”, “They answer, they log in straight away and they’re able to help.”
Approach
When deciding to switch Dental Software providers in early 2023, Kingshurst Dental Practice required a software that:
Enhanced efficiency: They required a software that streamlined the end-to-end delivery of their dental services. One of the reasons they chose Pearl Dental Software was our pre-made templates, as Shiv says, “there’s no faffing around. It’s all quite seamless”. They also wanted to improve the patient workflow and move away from paper records, with Shiv adding, “with Pearl, it’s one click.”
Support and training: As a busy dental practice, Kingshurst required a seamless onboarding process and ongoing support. Shiv told us that their previous system had been in place for 15 years and just wasn’t efficient enough for their busy practice needs. Therefore, they required support getting their data transferred over and they needed access to a support team that can help with any issues immediately as they appear.
Improved features and access: Previously Kingshurst had to store all information such as records and prescriptions in books, which was very manual and used up valuable time. Therefore, they required a system that was digital to speed up the whole process. Additionally, as a busy Practice Owner, Shiv required secure access to the software from outside the practice. Our cloud-based software allows him to do exactly that, and Shiv said that “being able to log in at home is fantastic.”
To address these points, we worked closely with the Kingshurst Dental Practice team to ensure they had adequate training so they could use Pearl Dental Software confidently from the get-go. We also worked with Shiv and the team to set up tailored auto-text shortcuts to speed up their patient workflow according to their exact requirements. “We just go through the shortcuts list, and we type it straight into the system and it pops up… It sped my life up drastically.” When asked what one word he’d used to describe our software, Shiv said “efficient”.
As we knew that Shiv required remote access, we set up the software in a way that allows Shiv to securely access patient records and X-rays remotely. Shiv remarked; “they went above and beyond as they helped us set up in a way which was a little bit different to what they normally do.” This is just one of many real life examples of how we work closely with our clients to ensure our software meets their business needs exactly.
Results
Since moving to Pearl Dental Software, Kingshurst has experience several key benefits
Enhanced productivity: The practice, with around 40-45 patients a day, has significantly reduced administrative tasks and paperwork through automated processes, such as auto-text templates and digital forms. This frees up valuable time for their dental team to focus on patient care. Shiv explained “the workflow has drastically improved and there’s less paper flying around.”
Improved interface and features: The user-friendly approach of our software has made it easy for the practice team to adapt to it quickly. As Shiv noted, “it’s very clean. Everyone in our team is really busy and I love the fact that everything’s where it should be.” Additionally, Shiv highlights our features and continuous developments as a major benefit of his moving to PDS. He mentioned our new ‘Lab Work Manager’ as an example of this, “we now record all of our lab work digitally.” Shiv also says our collaborative approach is key in making the software work in a way that works for them. “Pearl will listen, they’ll put requests through the development stages and then make the changes.”
